Event Check-in Process

Everyone walking through the door to party venue must either be checked-in by volunteer, or checked for appropriate wristband/stamp

  1. Scan QR code for check-in. If no QR code is available, look up the attendee’s name/email/ticket number at the Check-In Sheet.

  2. Verify attendee information:
    • NAME: Ask the attendee to state their full name and compare it with the name on the form. Ensure it matches exactly.
    • PASS TYPE: Check the Pass type and make sure it matches with the event day. If it doesn’t match, they may have another registration on the list, check the Registration list
    • COMPETITIONS: Check if they have signed up for the comp, ask if they would like to (collect payment). (SATURDAY ONLY) Issue them a bib number and note it down on the competition sheet.
    • PAID STATUS: Check the payment status on the form. Look for indicators such as “Paid,” “Unpaid,” or “Partial Payment.”
    • If the status is “Paid,” proceed to step 5.
    • If the status is “Unpaid” or “Partial Payment,” note the amount due and proceed to step 3.
    • After completing check-in, give the appropriate wristband.
      Blue = Full Pass
      Green = Party Pass
      Light Green = Workshop
      Yellow = Saturday Pass (Workshop + Party)
      Single Night Tickets = RS STAMP ONLY
    • Can also offer a HSF T-Shirt ($150HKD)
  3. If payment is due, check the “amount due” field and collect payment via:
    • CASH
    • FPS (see FPS details below)
    • STRIPE (see QR codes below, but remember to mention the extra credit card fee)
  4. Fill out details for ‘Door Payment Method’, including the amount paid and payment type. Fill in the exact ‘Amount Paid’ as well.
  5. Once payment is checked/collected, click on ‘Paid’ at the bottom of the form and submit.
  6. If there are any issues, contact the admin to resolve them.

This sample form demonstrates how attendee information will be displayed and what fields you’ll need to verify or update during the check-in process.

Walk-in Registration

  1. For walk-in registrations, manually collect information using ‘Walk-In’ Physical form
  2. Collect the following information:
    • NAME (required): Ask for the attendee’s full name
    • EMAIL (optional): Ask if they want a receipt, and if so, collect their email address
  3. Follow the payment collection process as described in steps 3-5 of the main check-in process above.
